This series specification describes two supervising storekeeping classes which, under direction at the lowest level and under general direction at higher levels, have responsibility for stores operations and for supervising other County employees.
DEFINITION OF LEVELS Storekeeper I is the first full supervisory level in the storekeeping series. Positions at this level supervise a medium- or large-sized specialized stores activity, maintain complex record-keeping systems and work with buyers and using departments on stock requirements. Positions allocated to this class series have one of the following sets of characteristics: Either (1) directing the work of and using independent judgment in the evaluation of the performance of the equivalent of three or more full-time subordinates, or (2) having similar supervisory authority over the equivalent of two or more full-time subordinates when the work site is geographically remote from the next level of supervision, or (3) when the position's immediate supervisor is close to the work station, incumbent is delegated authority to hire, discipline, discharge, and resolve grievances of the equivalent of two or more full-time subordinates. |
EXAMPLES OF DUTIES
|
NOTE: The following are the duties performed by employees in this classification. However, employees may perform other related duties at an equivalent level. Each individual in the classification does not necessarily perform all duties listed.
1. Plans and organizes work of subordinates; instructs and supervises Supply Clerks, Messengers, and other subordinate personnel in stores activities. 2. Prepares or reviews requisitions to maintain adequate stock without overstocking; establishes minimum stock levels for supplies; instructs others in proper requisitioning procedures; advises on specifications for specialized supplies and equipment. 3. Supervises storing, transferring, microfilming and destroying County records; establishes and maintains systems of record storage and retrieval; assists departments in establishing records retention schedules; prepares and manages budget for Central Records Retention activities; develops and recommends Record Retention Center policy, basing judgment on cost of various methods and legal requirements. 4. Reviews receipt of deliveries for agreement with purchase orders and requisitions; prepares the proper forms to confirm and effect payment of items ordered; reviews accuracy or receiving reports sent to Central Accounting office; arranges delivery of supplies and equipment to using departments or work locations. 5. Directs and participates in taking periodic physical inventories and the checking and reconciling of physical inventory records with perpetual inventory cards and registers. 6. Initiates and maintains correspondence and personal contact with suppliers; may order commodities directly from suppliers with open contracts; coordinates the work of the stores unit with needs of the operating divisions of the department; prepares and submits reports on various phases of the operation as required. 7. Develops work methods and systems for maintaining store records and for the receipt, storage arrangement, issuance, and control of stock and supervise these activities; reviews reports and coordinates procedures in accordance with central machine accounting requirements; prepares comprehensive warehousing plans for the guidance of subordinates. 8. May order, receive, store and transport selected items for other County departments to take advantage of maximum discounts and ensure efficient use of storage facilities. 9. Supervises the maintenance of time and attendance and material and job cost records; may maintain interdepartmental petty cash fund. 10. May requisition, store and distribute office forms. 11. May plan layouts, direct facility moves, including set-up of arrangements with professional moving companies. 12. Ensures scheduling of vehicle maintenance; makes minor repairs and checks equipment before sending out for repair. 13. May serve as a liaison with General Services Agency regarding building modifications, as necessary. |
MINIMUM QUALIFICATIONS

Storekeeper I
Either I Experience: The equivalent of one year of experience in the class of Supply Clerk II in the Alameda County classified service. (Non-classified includes District Attorney’s Office, Hospital Authority, and the Consolidated Courts.) Or II Experience The equivalent of two years of increasingly responsible storekeeping or purchasing experience. License: (for both levels) Possession of a valid California Motor Vehicle Operator's license. NOTE: The Civil Service Commission may modify the above Minimum Qualifications in the announcement of an examination. |

Storekeeper I Knowledge of: • Techniques of receiving, storing, and issuing supplies. • Stock control systems and record keeping. • General characteristics of various commodities, including familiarity with specifications, major sources of supply, and approximate prices. • Elements of supervision and work organization. Ability to: • Organize and maintain a specialized storekeeping activity. • Establish and maintain adequate controls and accurate records. • Operate standard office equipment and other machines and tools involved in the work. • Analyze data, draw logical conclusions, and prepare and submit accurate reports. • Establish and maintain cooperative relations with those contacted in the course of the work. |
