DESCRIPTION

Under general direction, to plan, direct and coordinate the production activity of a section staffed by data entry operators; to supervise and evaluate all data entry operators assigned to the section; to monitor work flow assuring the accuracy of completed work and compliance with production deadlines; to review existing production, procedures, materials and equipment and make recommendations for more effective use of personnel and equipment; and to do related work as required.
DISTINGUISHING FEATURES This is the supervisory level in the Data Entry series. Positions in the classification of Data Entry Supervisor are distinguished from those in the next lower classification of Data Entry Operator in that the Data Entry Supervisor is responsible for the full range of supervisory duties involved in the direction, coordination and control of the work of a group of Data Entry Operators whereas the Data Entry Operators have no supervisory responsibilities. |
EXAMPLES OF DUTIES

NOTE: The following are the duties performed by employees in this classification. However, employees may perform other related duties at an equivalent level. Each individual in the classification does not necessarily perform all duties listed.
1. Interviews, selects, and recommends on hiring data entry operators. 2. Supervises, trains and evaluates data entry operators for an assigned section. 3. Prioritizes, assigns, monitors work progress and evaluates the work of data entry operators. 4. Monitors daily production output rates of data entry operators. 5. Maintains and updates data entry procedures and implements new or revised procedures. 6. Creates and updates programs for data entry equipment. 7. Coordinates data entry scheduling with Computer Operations scheduling. 8. Works closely with user department representatives to establish data entry schedules and resolve any data conversion problems. 9. Resolves equipment problems, contacting vendor as necessary. 10. Schedules personnel and workloads to provide adequate shift coverage and meet production schedules and requirements. 11. Determines job priorities and procedures to ensure optimum use of equipment. 12. Classifies and logs data to be recorded on magnetic medium. |
MINIMUM QUALIFICATIONS

Either I
Experience: The equivalent of two years of increasingly responsible full-time experience as a Data Entry Operator in the Alameda County classified service. (Non-classified includes District Attorney’s Office, Hospital Authority, and the Consolidated Courts.) Some supervisory experience or classes in supervisory techniques is preferred. Completion of the Alameda County Management Academy “Management & Supervision Certificate Program” may substitute for six (6) months of the required qualifying experience. Education: Or II An associate arts degree in Data Processing, Computer Science or other related field, And Experience: The equivalent of one year of experience with full supervisory responsibility for a staff of key entry/computer operators is preferred. Or III The equivalent of four years of increasingly responsible full-time experience in the operation of key entry to computer systems, computers, and various peripheral equipment. At least one year of experience with full supervisory responsibility for a staff of key entry/computer operators is preferred. NOTE: The Civil Service Commission may modify the above Minimum Qualifications in the announcement of an examination. |
KNOWLEDGE AND SKILLS

Knowledge of: • Principles and techniques of conversion of data by keyboard data entry equipment. • Methods of operating key-to-disk, key-to-diskette, and computer operations. • Principles and techniques of supervision and personnel management. • Principles and techniques of work flow planning. Ability to: • Plan, direct and coordinate the work of data entry operators. • Review data entry work, establish priorities, make assignments, and monitor work progress. • Re-evaluate priorities and adjust assignments as necessary. • Assess data entry operator training needs and train data entry operators in the use of new procedures or new equipment as necessary. • Interview and select data entry operators to fill vacant positions. • Supervise and evaluate the work of data entry operators. • Monitor staff output to maintain production rates. • Work and communicate effectively with user department representatives, Data Processing Department management and staff. • Maintain and update data entry procedures. • Identify and resolve problems in program logic. • Organize and implement changes in computer system operations. |
