Applicants for this position are required to submit responses to the following supplemental questions.  Your completed responses to the supplemental questionnaire will be evaluated to determine your qualifications and must be completed properly in order to be given full consideration for the next phase in the selection process.  The answers you provide may be used to verify minimum qualification and/or to evaluate for selection of best-qualified candidates who will be invited to participate in the oral interview process.

Responses should be thorough and specific.  A lack of detail and explanation in the supplemental questions and in your application may result in failure or disqualification for this position.  Clarity of expression, content, experience, grammar, spelling and the ability to follow instructions will be considered in the evaluation process.  A resume will not be accepted as a substitute for properly completed responses.

Have you completed the Alameda County Management Academy "Management and Supervision Certificate Program," which may be substituted for six (6) months of the required qualifying experience?

Please describe your secretarial experience and specifically your experience preparing business correspondence, maintaining record keeping systems, operating standard office equipment, word processing, preparing spreadsheets, and managing the administrative support activities of an executive administrator.  In your response be sure to include the name of the employer, the dates of your employment with this employer in the role of secretary, and the title and role of the executive administrator to whom you provided support.

Please describe your experience effectively managing a dynamic workload and competing priorities/deadlines for yourself and the individual(s) you have supported. Your response should include:

  • The number of months/years of experience;
  • Where you gained this experience;
  • Any tools or technology you used; and
  • How you ensured that deadlines were met.

Please describe your experience providing confidential administrative support functions to individuals, such as executive management staff. In your response be sure to describe the level of administrative support provided, the size of the organization and the title and roles of the administrators supported.   Also, please describe the confidential nature of the work and why it was important for you to maintain confidentiality in your administrative support role.
