PURPOSE OF JOB CLASS (NATURE OF WORK)

In the Department of Correction Offender Classification and Population Management Unit and/or Central Records this class is accountable for performing as a specialist in sentence management and time calculations.

SUPERVISION RECEIVED

Works under the limited supervision of the Correctional Director of Inmate Classification Services or other employee of higher grade.

SUPERVISION EXERCISED

May lead lower level employees as assigned.

EXAMPLES OF DUTIES

  • Performs specialized tasks pertaining to inmate sentence and time calculations;
  • Acts as departmental spokesperson;
  • Provides training to agency personnel, law enforcement personnel and others on issues pertaining to inmate records and time calculations;
  • Coordinates and controls a system of inmate records management including teleprocessing, tracking, locating and reporting to courts, law enforcement officials and appropriate members of the public;
  • Reviews statutes, decisions and legal opinions concerned with sentenced time calculations;
  • Drafts administrative directives that pertain to inmate records;
  • Compiles a variety of statistical reports;
  • Develops and maintains procedure manuals to be used by Identification and Records Specialists on a departmental basis;
  • Holds monthly meeting for records personnel;
  • Audits inmate records at departmental facilities;
  • Oversees compilation and editing of criminal records of each inmate through correspondence and communication with other law enforcement agencies;
  • May testify in court on complex sentence and time computation problems;
  • Performs related duties as required.

  • Considerable knowledge of
    • large volume records management methods and techniques;
    • statutes, legal decisions and opinions related to sentence time calculations;

  • Ability to organize data for entry into database systems.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Five (5) years of clerical work experience.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

One (1) year of the General Experience must have been as a Correctional Identification and Records Specialist 1.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of four (4) years for a Bachelor's degree.

SPECIAL REQUIREMENTS

Incumbents in this class are required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.

CHARACTER REQUIREMENTS

In addition to the checking of references and facts presented in the employment application a background investigation will be conducted before persons are certified for appointment.

WORKING CONDITIONS

Incumbents in this class may be exposed to some risk of injury or assault by inmates.
