PURPOSE OF JOB CLASS (NATURE OF WORK)
In a state agency this class is accountable for independently performing a full range of tasks and providing lead responsibility for data entry operations.
GUIDELINES FOR JOB CLASS USE
For all uses at least seventy percent (70%) of the duties must involve entry and/or transfer of information (i.e. system back up) on computer terminals or personal computers or supervision of these functions.
This class is to be used in one of the following ways:
IN A SMALL DATA ENTRY ENVIRONMENT OR ON A SHIFT WITH ROUTINE APPLICATIONS:
- Incumbents in this class have lead responsibility for the work performed by a group of assigned operators.
AS ASSISTANT TO A DATA ENTRY SUPERVISOR:
- Incumbents in this class have lead responsibility for specific functions such as training, operator assistance, work flow monitoring, procedures monitoring, record keeping and/or performing more advanced technical functions such as system back up.
IN A LOCATION WITHOUT ON-SITE TECHNICAL SUPERVISION:
- Incumbents in this class act as a highly independent operator with responsibility for entry methods and procedures used for processing regularly recurring complex work including a wide variety of information requiring frequent and multiple decisions, problem resolution and knowledge of a number of major systems and procedures;
- May lead other employees performing routine functions.
SUPERVISION RECEIVED
Works under the general direction of a Data Entry Supervisor or other employee of higher grade.
SUPERVISION EXERCISED
May lead operators and other employees involved in performing related functions.
EXAMPLES OF DUTIES
GENERAL:
- Primarily operates data entry equipment;
- Determines if equipment or operator error exists and takes corrective action;
- Enters, changes, corrects, updates and retrieves information;
- Organizes and prepares work for input and distribution;
- Meets deadlines;
- Prepares and maintains procedures;
- Sets up equipment;
- Instructs others in procedures and machine operation;
- Maintains logs and records;
- Maintains file of source documents and storage media;
- May maintain communications with central computer facility and other divisions to ensure accuracy in reporting, controlling and distributing information;
- May determine and key in job parameters to be used;
- May program data entry equipment;
- May plan and schedule work to be entered;
- May operate other data entry or related equipment such as optical scanning equipment;
- May perform clerical duties;
- Performs related duties as required.
ASSISTANT TO DATA ENTRY SUPERVISOR OR AS A LEAD OPERATOR:
- Performs functions such as leading, training and providing information for employee service ratings and/or performing specialized technical functions such as operation of master terminal, transfer of information onto recording media and meeting with programmers and others to determine optimum screen and input document layout for new or revised jobs;
- May be responsible for leading an assigned group of operators or a second or third shift performing a limited number of processing functions which may be coordinated by a Data Entry Supervisor or other higher class on prime shift or at central facility;
- Performs related duties as required.
HIGHLY INDEPENDENT OPERATOR RESPONSIBLE FOR A WIDE VARIETY OF INFORMATION:
- Determines or recommends how information will be processed (i.e. option determination);
- Makes determination as to best method for entry, updating and report generation;
- Establishes and maintains procedures for effective work flow;
- Applies knowledge of work being processed to correct system edit errors;
- Determines most efficient methods for obtaining information;
- Formats source document layout with programmers or other personnel;
- May train part time students, back ups or users in operation of equipment and procedures;
- May develop or recommend entry methods;
- May act as lead operator for Data Entry Operators;
- May transfer information onto recording media;
- Performs related duties as required.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE
One (1) year of experience as a data entry operator above the trainee level.
NOTE:
- Operation of a terminal designed for cash receipt/register, or other similar specialized purposes does not qualify. Use of equipment for inquiry purposes cannot be substituted for the General Experience.
- Part-time experience in the entry of information on designated data entry equipment is calculated on the basis of 1044 hours equalling one-half (1/2) year of experience. Verification by employer may be required prior to appointment.
WORKING CONDITIONS
Incumbents in this class may be required to work in tiring positions performing repetitious and monotonous tasks for extended periods of time.
