PURPOSE OF JOB CLASS (NATURE OF WORK)
In the Division of Criminal Justice this class is accountable for performing a variety of complex and responsible clerical duties requiring independent judgment.
SUPERVISION RECEIVED
Works under the general supervision of DCJ Secretary or other employee of higher grade.
SUPERVISION EXERCISED
May lead clerical employees as assigned.
EXAMPLES OF DUTIES
PROCESSING:
- Receives, compiles and processes a variety of court and/or prosecutorial documents;
- Assembles and reviews incoming materials for accuracy, completeness, and conformance to established policy and procedures, verifying information through use of internal resources and contacts with initiators or others, and soliciting additional information as required by phone or form letter;
- Prepares logs and indices;
- Assigns file numbers;
- Maintains calendars of due dates and initiates required clerical work accordingly;
- May record disposition and other information.
FILING:
- Maintains a complex filing and record-keeping system for a variety of forms and documents and court reports.
TYPING:
- Types a variety of administrative, prosecutorial or other legal documents and correspondence;
- Operates office equipment;
- Acts as secretarial support for professional staff;
- May enter and retrieve data on computers, tablets and other electronic equipment.
INTERPERSONAL:
- Acts as receptionist, providing general information, assistance and referrals in responses to citizen questions regarding case status or process;
- Follows through on delegated contacts with police, attorneys, witnesses, victims, etc.
RECORD KEEPING:
- Maintains inventory control;
- Prepares and maintains various financial accounts and reports;
- Compiles office billings;
- Prepares attendance report;
- May receive and record cash payments;
- May process personnel transactions;
Performs related duties as required.
KNOWLEDGE, SKILL AND ABILITY
- Knowledge of office systems and procedures, including proper telephone usage and filing;

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE
Two (2) years of general clerical work experience.
