PURPOSE OF JOB CLASS (NATURE OF WORK)
In the Division of Criminal Justice this class is accountable for independently performing the most complex tasks in providing both office administration and secretarial support in appellate matters on a statewide basis. There is additional emphasis on independent external contact with various state, federal and private sector representatives as a regular part of the job.
GUIDELINES FOR JOB CLASS USE
This class includes many of the secretarial functions described in the Appellate Secretary 1 class, but the focus of the position is on administrative activities requiring an advanced level of accountability, problem solving and interpersonal contacts.
SUPERVISION RECEIVED
Works under the general supervision of the Bureau supervisor.
SUPERVISION EXERCISED
Leads other clerical staff as assigned.
EXAMPLES OF DUTIES
- Performs the most complex duties in the preparation of legal documents, including capital penalty briefs;
- Acts as liaison between legal staff in the Bureau and the Appellate Court, Supreme Court and Second Circuit Court of Appeals, as well as private vendors used to coordinate printing and storage of criminal files on appeal;
- Assists in drafting various legal documents such as briefs and pleadings;
- Files Supreme Court briefs and appendices in accordance with Practice Book requirements;
- Notifies attorneys of court deadlines;
- Assists attorneys in developing office procedures, operations, manuals and filing systems;
- Designs and initiates new forms and procedures to facilitate workflow;
- Answers routine correspondence and telephone inquiries;
- Designs office filing systems;
- Organizes and maintains files, including confidential files;
- Answers phones and screens incoming calls;
- Provides advice to callers regarding policy and procedures;
- Answers inquiries requiring an understanding of the organization and the supervisor's responsibilities;
- Arranges and coordinates meetings;
- Schedules and maintains calendars (appointments, court dates, etc.);
- Maintains office records;
- Maintains inventory of supplies and equipment;
- Orders supplies when necessary;
- Completes, processes and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.);
- Maintains time and attendance records;
- Performs related duties as required.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE
Three (3) years of independent work assignments at the level of DCJ Appellate Secretary 1 or other job classification with equivalent experience to the DCJ Appellate Secretary 1.
