The State of Connecticut, Department of Transportation (DOT), is actively recruiting for a Health & Safety Program Assistant (Office Assistant) within the CTDOT Division of Occupational Health and Safety (DOHS).

POSITION HIGHLIGHTS

  • Work Schedule: Monday through Friday 7:30 AM - 4:00 PM (first shift)
  • Job Type: Full Time (40 hours per week)
  • Location: Headquarters in Newington, CT*
  • Bargaining Unit: NP-3 (Administrative)

*This position is eligible to apply for telework after successful completion of the working test period, and thereafter, in accordance with the Telework Policy. The Policy can be found here. Employees in their initial working test period must work on site in the office.

YOUR ROLE

This position is responsible for processing and maintaining the licenses and medical cards for approximately 1,400 employees within the Department’s Commercial Driver’s License (CDL) program. This position also supports the data entry and records management with Medgate/Cority—CTDOT’s occupational health and safety management software.

Applicants for this position should anticipate extensive work with a variety of computer-based systems, both internal and external, compliance, health/medical, financial and information databases that contain highly sensitive and confidential information. In addition, the applicant will be routinely working with detailed statistics and other information that requires very strong skills using the Microsoft Office Suite especially, Excel, Access, Word and Outlook.

The Division of Occupational Health and Safety (DOHS) is within the Office of the Commissioner and works throughout the Department to promote and support a safe and healthy workplace for all CTDOT employees. DOHS staff work closely with employees at all levels on a wide variety of health and safety issues.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for independently performing a full range of general clerical functions or for carrying out responsibility for the flow and completion of clerical work in an assigned area.

EXAMPLES OF DUTIES

Duties to be performed include but are not limited to:

  • Verification and tracking of licenses and medical cards required for approximately 1,400 CTDOT CDL employees and prospective new hires through DMV's Cater system, and online services
  • Communicate with physician offices regarding questions that arise regarding the driver's Medical Examiner's Card
  • Receive all CDL Medical Waivers, and prepare for final processing
  • Maintain Drug and Alcohol Clearinghouse records
  • Maintain Driver database as required by CDL regulations & Federal Motor Carrier Safety Administration (FMCSA)
  • Work with supervisor and manager regarding employee compliance with annual license requirements
  • Under the guidance of the Safety Director, coordinate removal of a driver from safety sensitive duties and monitor driving status until proper Class A or B license is restored
  • Assist with implementation and data management of the Department’s Health and Safety Database
  • Work closely with Workers Compensation regarding medical documents received and limitations with potential impact on CDL employees, ability to operate equipment or renewing their Medical Examiners Card
  • Respond to internal and external questions related to our CDL driver policy and requirements
  • Complete employee accident history for prospective employers as required by CDL regulations and FMCSA2

KNOWLEDGE, SKILL AND ABILITY

  • Knowledge of office systems and procedures including proper telephone usage and filing;

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years of general clerical work experience.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one/half (1/2) year of experience to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

  • Experience working with workforce management software, including but not limited to Oracle Peoplesoft (CORE-CT) or Cority/Medgate;
  • Experience with data entry and running query reports;
  • Experience with confidential data and information related to personnel records, driver history records, medical records or similar sensitive information;
  • Experience accurately and simultaneously completing multiple assignments within established deadlines.
  • Experience working with Microsoft Office (Word, Access, Excel, Outlook, Teams).

SPECIAL REQUIREMENTS

Persons having responsibility for supervising or observing the behavior of inmates or custodial individuals will be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.
