The State of Connecticut, Department of Correction is seeking highly motivated individuals to join our team of Correctional Identification And Records Specialists across the state with immediate vacancies in the following locations:

  • Records Warehouse - Cheshire
  • New Haven Correctional Center - New Haven (1st and 2nd Shift available)
  • Garner Correctional Institution - Newtown
  • Anticipated: MacDougall-Walker Correctional Institution - Suffield
The Identification & Records Specialist will perform a full range of tasks associated with inmate identification and record keeping and overseeing the inmate identification and records section.

These positions are full time on first shift and or second shift, 40 hours per week, Monday through Friday.

POSITION HIGHLIGHTS
As an Identification And Records Specialist, you will be tasked with accurately tabulating and calculating inmate sentences and maintaining confidential inmate records. You will independently perform a full range of tasks associated with inmate identification and recordkeeping and overseeing the inmate identification and records section.  Some key responsibilities may include but are not limited to:
  • Ensures accurate maintenance of facility or parole system for inmate identification including tabulation of inmate sentences and other records;
  • Develops and maintains contacts with courts and law enforcement agencies concerning matters of individual inmates related to sentences;
  • Calculates sentences for parole and discharge eligibility including sentence commutations for good time and other adjustments;
  • Oversees issuance of notices concerning release and discharge of inmates, furloughs, and transfers of inmates to required and authorized recipients;
  • Oversees compilation and editing of criminal records of each inmate through correspondence and communication with FBI, CSBI, and other law enforcement agencies;
  • Assigns and reviews unit work for accuracy and thoroughness;
  • Assists in the compilation of current statistical data concerning inmates and monthly and annual statistical reports.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In the Department of Correction at a facility or parole office or Boards of Pardons and Paroles this class is accountable for independently performing a full range of tasks associated with inmate identification and record keeping and overseeing the inmate identification and records section.

EXAMPLES OF DUTIES

  • Ensures accurate maintenance of facility or parole system for inmate identification including tabulation of inmate sentences and other records;
  • Develops and maintains contacts with courts and law enforcement agencies concerning matters of individual inmates related to sentences;
  • Calculates sentences for parole and discharge eligibility including sentence commutations for good time and other adjustments;
  • Oversees issuance of notices concerning release and discharge of inmates, furloughs and transfers of inmates to required and authorized recipients;
  • Oversees compilation and editing of criminal records of each inmate through correspondence and communication with FBI, CSBI and other law enforcement agencies;

KNOWLEDGE, SKILL AND ABILITY

  • Considerable knowledge of large volume records management, methods and techniques;
  • Skills
    • interpersonal skills;
    • oral and written communication skills;
    • in performing arithmetical computations;
  •  Considerable ability to understand and interpret statutes and regulations pertaining to sentence calculation;
  • Ability to organize data for entry into database systems.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Four (4) years of clerical work experience.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

Two (2) years of the General Experience must have been in the maintenance, processing or control of inmate or criminal records or of an extensive record keeping system involving financial, health, inventory, legal, medical or other records.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

  • Experience in large-volume records management, methods, and techniques;
  • Experience performing arithmetical computations;
  • Experience interpreting statutes and regulations pertaining to sentence calculation;
  • Experience organizing data for entry into database systems;
  • Experience working with RT system/MOCHA System & Collect software;
  • Experience calculating and inputting time in regard to sentencing from court;
  • Experience utilizing (JEB) - Judicial Electronic Branch System;
  • Experience utilizing (JIS) - Judicial Information System;
  • Experience with pertinent Judicial Branch paperwork forms such as sentence modifications and mittimus;
  • Experience with FOI requests/redaction of information.

SPECIAL REQUIREMENTS

Incumbents in this class are required to possess a high school diploma or General Educational Development (G.E.D.) certification by the time of permanent appointment.

CHARACTER REQUIREMENTS

In addition to the checking of references and facts presented in the employment application, a background investigation will be conducted before persons are certified for permanent appointment.

WORKING CONDITIONS

Incumbents in this class may be exposed to some risk of injury or assault by inmates.
