Executive Assistant to the Civil Service Board

Responsibilities

The incumbent, working under general supervision, handles various administrative tasks for the Secretary and Chief Examiner and the Civil Service Board. Key responsibilities include drafting agendas and minutes, coordinating Civil Service hearing logistics, and liaising with relevant parties like Hearing Officers and court reporting services. The role requires a solid understanding of employee selection rules, labor contracts, and relevant laws. The incumbent prioritizes communications, maintains filing systems, reviews pre-employment physicals, and processes correspondence. Additionally, the role involves composing reports, scheduling meetings, managing appointments, and handling budget-related tasks. Strong computer skills and the ability to provide technical assistance to staff are essential.

Minimum Qualifications

Associate's degree in business or a related field AND 5 years of experience in office management, civil service or human resources

OR

High School diploma or GED AND 10 years of experience in office management, civil service, or human resources.

Degree must be from a college or university that is accredited by the U.S. Department of Education through the North Central Association of Colleges and Schools Higher Learning Commission or equivalent region.

Background Check 
A background investigation and evidence of Employment Authorization and Identity is required prior to employment. All candidates must pass any level of background investigation applicable to the position, including current city employees seeking transfer, promotion, demotion, etc. into a classified position.

Final appointment is contingent upon the applicant passing a job-related medical examination including drug screen. Applicants offered employment with the City will be required to pass a nicotine screening. Newly hired employees must remain tobacco and nicotine free as a condition of continued employment.
