Definition

Plans, organizes, supervises, and participates in the work of staff assigned to multiple centralized support services such as reprographics, courier and office delivery, mail, telephone, central supply, and civic center permits.

Typical Duties

Plans, organizes, supervises, and participates in the work of staff engaged in providing a variety of centralized general services such as reprographics, courier and office delivery, mail, telephone, central supply, and civic center permits.

Establishes, revises, and implements work methods and procedures used by the assigned units to optimize the work flow of the assigned units.

Determines workload requirements, establishes priority of work projects, production standards, and prepares schedules to meet deadlines, sets up flow of work, and assigns work accordingly.

Reviews the work of subordinates for accuracy, adequacy, and compliance with instructions, procedures, and work methods.

Monitors and ensures timely delivery of quality services to meet customer needs.

Responds to non-routine customer inquiries and complaints.

Explains operating procedures, policies, and regulations to administrators, faculty, students, and staff.

Monitors equipment usage and utilization patterns and trends, establishes sound control and billing procedures, and recommend approaches to improve service quality and performance while minimizing costs.

Selects, trains, evaluates, and supervises the work of assigned staff.

Prepares records, reports and correspondence concerning the work of the assigned units.

Participates in the preparation of the annual budget for the assigned units and monitors expenditures.

Recommends and assists in implementing new technologies and equipment to maximize effectiveness in meeting customer needs and integration with existing technologies.

Contacts service representatives to arrange major repairs and service related to general services equipment.

Prepares or approves requisitions for office supplies and parts needed to make minor repairs on support services equipment.

Maintains logs, files, procedure manuals, references, and other records.

Performs related duties as assigned.

Distinguishing Characteristics

A General Services Supervisor plans, organizes, supervises, and participates in the work of staff assigned to multiple centralized support services such as reprographics, courier and office delivery, mail, telephone, central supply, and civic center permits.

A Lead Support Services Assistant performs lead duties for a small clerical unit responsible for providing reprographic services and other staff support services such as courier, mail, and telephone services.

A Reprographic Equipment Operator sets up, operates, and performs minor maintenance on high-speed programmable photocopiers and other related reprographic equipment.

Supervision

General supervision is received from a classified manager or administrator. Immediate supervision is exercised over assigned clerical and technical staff.

Operation and care of equipment related to assigned units

Functions of unit to which assigned

Uses and capabilities of computer software, hardware, and systems used in the operations of assigned units

Skill in:

Use of computer and standard equipment used in general support services areas

Ability to:

Plan, schedule, and supervise the work of multiple support services units

Understand, interpret, and apply rules, policies and regulations pertinent to the work of the assigned units

Train others in the functions, rules, practices and procedures of the work of the units

Give clear and concise instructions

Prepare reports, correspondence, and instructions

Effectively communicate orally and in writing

Meet schedules and time lines

Work effectively and cooperatively with a diverse pool of administrators, faculty, students, and office staff

Evaluate work methods and performance

Perform basic arithmetic computations accurately

Maintain accurate records

Use specialized computer applications and systems pertinent to the work of the assigned unit

Learn specialized computer applications

Entrance Qualifications

Education and Experience:

A.  An associate degree or its equivalent from a recognized college or university preferably with a major in business administration, computer applications and office technologies (CAOT), or a related field AND two years of full-time, paid clerical experience in providing office support services in multiple areas and in the operation and minor maintenance of standard office equipment. One year of the required experience must have been in a lead or supervisory capacity. A successfully completed college-level course in supervision or management may substitute for the required one year of experience in a lead or supervisory capacity.

OR 

B.  Graduation from high school or its equivalent AND three years of full-time, paid clerical experience, in providing office support services in multiple areas and in the operation and minor maintenance of standard office equipment. One year of the required experience must have been in a lead or supervisory capacity. A successfully completed college-level course in supervision or management may substitute for the required one year of experience in a lead or supervisory capacity.
