POSITION DUTIES

The main purpose of this job is to perform the receiving and sorting of mail and then disseminate to the right individual and/or department, which includes: stamping, opening, reading, sorting, and routing incoming mail; sealing, stamping, and affixing postage to outgoing mail or packages; and keeping necessary records. Weighs packages or letters, computes charges using weight scale and rate chart. Process outgoing mail and sort accordingly to allow posting through the US Postal Service (USPS). Monitor and track supplies and materials required in mailroom operation and other units. Maintain a high level of customer care and; sort and deliver incoming mail for all units. Assist the Commissioner’s Office with property, special projects, and maintains fleet vehicles.

Collects and disperses incoming and outgoing mail from US Postal Service, commercial couriers, MCE courier, FedEx, and certified mail.

Weighs, determines postage, and meters outgoing US mail for daily pick-up. Ensures all deliveries have been signed and delivered to the correct recipient.

Provides direct and indirect assistance to DPSCS units, as needed.

Assists in the implementation of the department’s cost reduction strategies, particularly related to ordering supplies, storing, and dispensing.

Summarizes numerical data using computer programs, adding machines and/or calculators for use in the preparation of expense forms, purchase orders, and invoices.

Reviews, copies, and posts into database source documents such as invoices, receipts, purchase orders, expense reports, FedEx packages, certified mail, and requisitions.

Maintains maintenance and supplies for multiple copiers.

Evaluates and maintains condition of office machines including photocopy machines and facsimile machines. Serves as the primary contact person for current vendors for providing maintenance to office equipment.

Submits requisitions to the DPSCS Office of the Secretary’s Finance unit for approval to obtain all commodities necessary for the successful operation of the Commissioner’s Office. Promotes the Departments’ cost reduction strategies, particularly related to the ordering, storing and dispensing of commodities and equipment.

Creates and enters Remedy maintenance request tickets, checks for outstanding tickets, and resolves tickets.

Responsible for answering the phone, greeting callers, establishing reason for calling, and resolving issue by contacting appropriate person that can help the customer. 

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience in general services functions, office administration activities or in the receiving, storing, issuance, purchase or requisition of equipment, materials, and parts and supplies.

Notes:

1. Candidates may substitute additional experience as stated above on a year-for-year basis for the required education.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in logistics specialist classifications or administrative support specialty codes in the logistics field of work, on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Preferred Qualifications: 

1 year of experience with expenditure management (monitoring, approving/overseeing operating expenditures and tracking budget encumbrances) using a Microsoft Office application.

1 year of experience processing and receiving incoming and outgoing mail.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

1. Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.
