Main Purpose of Job

Position 1
The individual in this position provides secretarial support to the Director, managers and staff of the agency as needed by typing correspondence and other documents as needed. This individual assists with the front desk operation by receiving telephone calls and visitors. This individual will assist with mail handling, processing, and other clerical tasks. The individual in this position interacts with both custodial and non-custodial parents and informs callers and visitors of policy and procedures regarding agency operation. This individual will complete logs and update spreadsheets with agency information to track work product flow. To complete the reception, mail handling or clerical tasks, this position requires the review, verification, and interpretation of child support case information in order to screen, delegate or complete the appropriate next step for reception, customer service, correspondence, or mail handling tasks. This individual assists in training backup personnel on the telephone and reception procedures. The individual in this position must possess communication skills and thorough knowledge of administrative procedures to provide office support to the entire agency and must be able to maintain confidentiality. The individual in this position assists the agency by researching , analyzing and compiling data. The individual is responsible for creating and maintaining databases, spreadsheets and reports for statistical purposes and for use by the management team to effectively monitor and administer the program. In addition, the individual in this position is accountable for maintaining agency wide projects such as the closed files.

Position 2 
This position is responsible for the preparation of legal documents and correspondence pertaining to the establishment and enforcement of paternity and support. Individuals in this position provide secretarial support to the Director, Assistant Directors and legal secretarial support to four attorneys. The high volume of secretarial work includes creation of special and confidential assignments, legal pleadings to be filed with the Circuit Court, routine correspondence, and database applications. In addition, persons in this position are accountable for maintaining agency-wide projects such as genetic testing, docketing cases for court action, and appointment scheduling. The incumbent is responsible for filing all Court related documents via MDEC.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years of experience performing clerical, clerical technical, or secretarial work. 

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for each year of the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
One year providing customer service experience to internal and external customers. 
Six months experience with scheduling and use of court filing software such as Maryland Electronic Courts (MDEC).
One year experience with Microsoft Office Suite.
One year experience entering, updating, retrieving, and verifying data.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
