This is a Position Specific Recruitment for the State Department of Assessments and Taxation, Charter Legal Division. The resulting Eligible list will be used for this division only.

Main Purpose of Job

Functions as the personal secretary for the Director, Deputy Director and department attorneys and serves as the first line of contact for the Charter Legal Division. The position will entail typing of correspondences, reports and other documents using the computer, Multi-line telephone system and a copier/facsimile/scanning machine. Provides the general public, companies, lawyers and business entity representative information concerning statutory mandates, agency procedures, hours of operation, interpretations of the law, and required forms.

POSITION DUTIES

Provides continuous information and problem resolution to the general public, attorneys and other representatives of business entities via email, support ticket management or telephone.

Coordinate scheduling and calendar management. Prepare spreadsheets, memos, agendas, reports, special projects and other documents in support of objectives for the Department. Photocopies essential office forms and orders adequate supplies of these forms for the Department.

Incumbent serves as the first line source of information when inquiries are directed to the Program Manager. These
responsibilities involve answering email, telephone and in-person inquiries from the general public, law firms, business entity representatives concerning the formation of business entities and legally required filings. This
includes interpreting laws, rules and regulations and procedures of the agency’s operations. This function also requires research of the status business entities or business transactions required to be recorded in the
Department.

Opens, sorts and distributes incoming emails, mail and legal documents for processing to the corporate attorneys or for referral to the proper person/unit/agency. Retrieves and files correspondence for incoming legal documents. Maintains several filing/retrieval systems.

Orders equipment including furniture and office supplies from the Purchasing Department.

Cancels corporate charter documents due to insufficient funds checks. Reinstates domestic and foreign corporation charters, limited partnerships and limited liability companies. These duties involve database work as well as drafting and sending correspondence and maintaining records.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge of legal terminology.

Experience working with legal documents concerning the formation of business entities and legally required filings.

Interpreting laws, rules and regulation pertaining to business entities.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
