POSITION DUTIES

This position is responsible for providing secretarial support to the Baltimore City Department of Social Services – Family Preservation Unit Manager in the form of typing, filing, faxing, photocopying, taking messages and other duties as specified to ensure program performance and compliance. Completes daily contact with immediate supervisor for updates and assignments. The incumbent has frequent contact with case workers to assist in resolving problems, inquires and clarifications whether in person or via telephone or email. The incumbent has daily contact with customers or interpret agency procedures, direct calls, or concerns. The incumbent attends staff meetings and trainings as directed or needed. The incumbent makes decisions regarding customer linkage to various programs and staff. The incumbent may service as the contact person for Birth Match referrals given to the Family Preservation Program from the Protection, Preservation and Prevention Services Program of the Social Security Administration. This duty may require the incumbent to be responsible for sending email correspondences to the Family Preservation care team members daily. The incumbent may be responsible for completing and updating list of completed Birth Match referrals and referrals which may be outstanding. The incumbent will provide updates to the Unit Manager and all parties involved with the Birth Match referrals as needed. The incumbent directs calls to appropriate person when clients or other agencies have contacted the Family Preservation Program.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services Specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

One year experience of using Microsoft Office suite and Google suite.

One year experience exhibiting great customer service skills.

One year experience of excellent communication skills - Speaking, reading and writing.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
