POSITION DUTIES

The Executive Associate III provides administrative support to the Adjutant General, Assistant Adjutant General, Chief of Staff and Executive Staff. The Executive Associate III exercises sound judgement, works independently and performs varied assigned duties. This administrative support provides coordination with the day-to-day complex activities and assists to ensure that the mission of the Maryland National Guard is achieved with exceptional customer service. This Special Appointment position serves at the pleasure of the Maryland Military Departments Appointing Authority.

Duties for this position include, but are not limited to the following: 

·Manages communications for the Adjutant General through, phone, mail, and fax. 
·Schedules appointments, meetings, and conferences for the Adjutant General and Chief of Staff. 
·Drafts official correspondences in accordance with governing instructions and prepares final format for signature by the Adjutant General and Chief of Staff. 
·Retrieves, reviews, and sorts all incoming correspondence and routes to the appropriate individual. 
·Requests military orders for the Adjutant General.
·Prepares itinerary for travel to include Mil Air and commercial air. 
·Prepares expense vouchers for payment when the Adjutant General returns from a trip. 
·Compiles and maintains telephone/mailing lists for special events and ceremonies.

MINIMUM QUALIFICATIONS

Education: A Bachelor's degree from an accredited college or university.

Experience: Four years of experience in administrative staff or professional work. 

Notes:  

1. Additional experience in administrative staff or professional work may be substituted on a year-for-year basis for the required education.  

2. Additional graduate level education at an accredited college or university may be substituted at the rate of 30 semester credit hours on a year-for-year basis for the required general experience.  

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures, and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher-ranking commissioned officer on a year-for-year basis for the required education and experience.

DESIRED OR PREFERRED QUALIFICATIONS

Proficient in Microsoft Office Products.
Experience maintaining an Executive's schedule. 
Experience working with Military Personnel and Executive Level staff. 
Experience handling confidential information. 
Ability to Multitask.
Experience preparing expense vouchers. 
Experience making travel arrangements to include Mil Air, commercial air and ground transportation. 
Experience arranging conferences and meetings.
Experience in note/minute taking.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle.  Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland with less than 5 points to operate a state vehicle.

This position is not subject to Bargaining MOU's.

· Personal Leave - new State employees are awarded six (6) personnel days annually (prorated based on start date). 
· Annual Leave - ten (10) days of accumulated annual leave per year. 
· Sick Leave - fifteen (15) days of accumulated sick leave per year.  
· Parental Leave - up to sixty (60) days of paid parental leave upon the birth or adoption of a child.
· Holidays - State employees also celebrate at least twelve (12) holidays per year.  
· Pension - State employees earn credit towards a retirement pension.

A copy of your proof of eligibility (DD214) for Veterans’ Credit must be in this office and completely verified before Veterans’ Credit will be approved.
