Main Purpose of Job

Department of Public Safety and Correctional Services/ Information Technology & Communications Divison (DPSCS/ITCD) is currently recruiting for a contractual Administrative Officer III. The position will provide administrative support to coordinate and facilitate the daily operations for policy management functions and activities as directed by the Director, Policy Management Unit. 

The ideal candidate would: 

1. Be highly organized, detail and task oriented and able to manage and complete a variety of tasks under pressing time constraints efficiently and accurately;

2. Be customer service oriented, adaptable, and possess excellent interpersonal, listening and communications (verbal and written) skills;

3.  Possess efficient and effective problem analysis and solving skills; and

4.  Possess strong writing, grammar, research (preferably legal), office management and Microsoft Office Suite 2007/2010 skills with the ability to design and maintain Microsoft Office 2007/2010 Excel and Access databases. 

POSITION DUTIES

The position will be required to:

Provide administrative support in the oversight of the electronic and manual organization of files and documents maintained by the Policy Management Unit. 

Provide administrative support as it relates to legislative tasks required during the annual Maryland General Assembly session.

Provide administrative support in the coordination, facilitation and development of training and presentations materials, research, reports and pre and post-preparation for certain boards, programs and committees. 

Provide administrative support in the organization and expedition of communication regarding the preparation of User Agreements and Memoranda of Understanding (as required) in response to requests for data including access to criminal justice systems and criminal history record information.

Provide administrative support for the above duties and also but not limited to:

  • Facilitating the day-to-day activities and tasks as directed by the Director
  • Collecting, tracking and managing performance metrics by designing, updating and maintaining charts, graphs, spreadsheets  and related electronic items, to include but are not limited to:
    • A quarterly report on all activities within the Policy Management Unit;
    • A monthly report of performance metrics; and
    • A consolidated monthly status report on all activities within the Policy Management Unit.
  • Developing and coordinating projects to update and facilitate accessibility for internal and external customers of pertinent  information maintained within the Policy Management Unit;
  • Special assignments as directed by the Director; and other duties as assigned.

MINIMUM EDUCATION OR GENERAL REQUIREMENTS

Education: Possession of a bachelor's degree from an accredited four-year college or university.

Experience: Three years experience in administrative or professional work. 

Notes:

1.  Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.

 

2.  Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.

 

DESIRED OR PREFERRED QUALIFICATIONS

A Bachelor's Degree in Liberal Arts, Criminal Justice, English or a similar discipline and one (1) year experience working in an office or research setting is desired/preferred, but NOT required.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle.  Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland. 

SELECTION PROCESS

The examination may consist of a rating of your education, training, and experience related to the requirements of the job.  It is important you provide complete and accurate information on your application.  Successful candidates will be place on the employment eligibility list categorized as Best Qualified, Better Qualified, or Qualified.  the list will be valid for at least for one year and may be extended.  The list will be used by the hiring agency to select employees.
