Main Purpose of Job

This position serves as the Administrative Assistant to the Family Investment Administration's Director of the Bureau of Administration and performs a variety of administrative and technical support functions. The position involves the interpretation and application of administrative plans and knowledge of budgetary and personnel regulations and procedures to assist in planning and facilitating program administration support. The incumbent in this position provides administrative support related to budget development and management, personnel, procurement of goods and services, contract processing, facilities management and other administrative functions.

POSITION DUTIES

Compiles data to prepare administrative and statistical reports; monitors the status of assignments and projects; composes correspondence; maintains FIA's Cost Allocation Plan; reviews budget justifications for accuracy, assists with special budget assignments, serves as the back-up to the Budget Specialist; reviews, approves and reconciles State Review Team's consultative exams and medical records invoices; reviews accuracy of complex Medical Assistance Co-Pay monthly billings to Long Term Care facilities; reviews and completes paperwork for personnel matters/transactions; assists in planning and implementing new or revised administrative procedures and practices to improve internal controls/operations; assists in maintaining the Bureau's Quick Reference Guide; schedules meetings, trainings and briefings; transcribes minutes; and coordinates travel arrangements.

MINIMUM EDUCATION OR GENERAL REQUIREMENTS

Education: Completion of 60 credit hours at an accredited college or university.

Experience: One year of experience in administrative or professional work.

Notes:

1. Candidates may substitute experience as defined above for the required education at the rate of one year of experience for 30 credit hours, for up to 60 credit hours of required education.

2. Candidates may substitute 90 credit hours at an accredited college or university for the required education and experience.

DESIRED OR PREFERRED QUALIFICATIONS

Proficiency in Microsoft Word and EXCEL, programmatic knowledge, organizational skills, knowledge compiling and analyzing data, and preparing statistical and monthly administrative reports are required.

LIMITATIONS ON SELECTION

Limited to current Maryland State employees willing to work in downtown Baltimore City.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

SELECTION PROCESS

EXAMINATION PROCESS

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.

You must possess the minimum qualifications to be considered for this position. If you are scheduled to complete an educational or licensing requirement within six months of the assessment, you may participate in the application process. Permanent Maryland State employees may also complete necessary experience requirements within six months of the date of the assessment. However, such candidates will appear in pending status on the eligible list until documentation has been received that the educational and/or experience requirements have been met. Credit may be given for relevant part-time, temporary, or volunteer experience, if you list the number of hours worked per week. For education obtained outside the U.S., you will be required to provide proof of the equivalent American education as determined by a foreign credential evaluation service.
