Introduction

The Administration of Public School Construction Program, a State agency, has a position available for an Administrative Specialist II.

 

This is a Special Appointment position and serves at the will of the Executive Director of the Public School Construction Program.

Main Purpose of Job

The primary purpose of this position is to provide assistance to higher-level administrator activities of the Deputy Director, Programs Manager, the Assistant Programs Manager, the Executive Associate and other agency executives. This position prepares routine and complex correspondence, preparing agenda items, assisting with meeting arrangements and scheduling, receiving/distributing all incoming/outgoing correspondence and calls, and greeting visitors. This employee maintains the accuracy of data collected in various databases for the State funding programs administered by this agency.

POSITION DUTIES

Funding program applications: process program applications for the three main grant programs, manage files, enter and verify the accuracy of the application data, identify overlap with prior projects and coordinate the approval process among various State agencies.

Prepare and draft complex agenda items for high-level meetings, assist with the composition and distribution of meeting minutes and correspondence, assist with setup and coordination of meetings.

Evaluate and maintain the accuracy of the data in several agency databases including; contacts, funding programs and school facilities database.

Understand and perform business math calculations using formulas.

Position works collaboratively with agency staff and other State agencies.

MINIMUM QUALIFICATIONS

Education: Completion of 60 credit hours at an accredited college or university

Experience: Two years of administrative or professional experience.

Notes:

Candidates may substitute experience as defined above for the required education at the rate of one-year experience for 30 credit hours of education, for up to 60 credit hours of required education.

Candidates may substitute 90 credit hours at an accredited college or university for the required education and experience.

Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required education and experience.

DESIRED OR PREFERRED QUALIFICATIONS

Candidates should have experience with automated accounting software packages, knowledge of the principles and practices of bookkeeping, and the ability to set up and maintain spreadsheets and ledgers.

Candidates should have excellent verbal and written communication skills, including mastery of grammar and spelling and the experience developing professionally written correspondence including letters, memos and formal financial reports.

Two years of experience with Google Mail Services, Microsoft Office (including PowerPoint, Access, Excel, and Word), Crystal Reports.

Good organizational and problem solving skills, and the ability to multi-task.

Experience working with databases and electronic records using metadata in a document management system.

Minimum typing speed of 40 words per minute
