Main Purpose of Job

This position provides secretarial support and performs clerical duties such as record keeping, photocopying, directing phone calls, sorting mail, scheduling appointments and typing.

POSITION DUTIES

This position types correspondence, reports and statements and reviews for grammar, punctuation and accuracy; maintains Office of Education records, performs data entry in MD CHESSIE and files; compiles presentation materials; maintains updated program specific spreadsheets; reviews and composes correspondence dealing with routine matters; examines, verifies and completes monthly statistic reports; provides customer service to both internal and external customers; answers multi-line telephone and takes messages, routes calls and answers questions; and receives, sorts and distributes inter and intra-agency correspondence to staff.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services Specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

 

DESIRED OR PREFERRED QUALIFICATIONS

Bilingual (able to speak Spanish fluently).

Six months experience preparing and maintaining statistical numerical reports and records.

Six months experience entering data in MD CHESSIE (Maryland Children's Electronic Social Services Information Exchange).

Six months experience composing business correspondence.

Six months experience using Excel, Access and Publisher.

Six months experience working with the Maryland State Department of Education, Local Education Agencies (LEAs) and/or local schools.

Ability to establish, revise, and implement office procedures.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
