Main Purpose of Job
The position is primarily responsible for technical and secretarial support to the Assistant Director for Child and Adult Services, the Child Protective Services (CPS) and Continuing Services Units. The secondary function of this position is to serve as back up for other units such as Foster Care Services Unit, Adult Services Unit, Family Investment Unit, Administration and Child Support as required.
POSITION DUTIES
The position performs Executive Administrative Support services for the Assistant Director for Services and Child Welfare supervisors. Follows all agency Standard Operating Procedures.
Types correspondence, case record updates, court documentation and reports which deal with complex subject matter for Child Protective Services and In-Home/Out of Home services for documentation by using WORD in accordance with State regulation.
Maintains important and confidential records concerning Child Protective Services, Foster Care, Adoptions and Continuing Services.
Serves as back-up person for Appeals coordinator for all individuals who wish to file a CPS/Foster Care/Adoptions/Family Services appeal. Position Processes all paperwork for the appeal hearings.
Performs administrative support services to include data entry into CHESSIE, CIS (Client Information System, and prepares/distributes notices to attorneys, community agencies, and other appropriate personnel.
Completes clearances and inquiries in CHESSIE and CIS for all Child Welfare programs for tracking CPS history.
Trains and updates staff in the operation of CHESSIE, CIS.
Receives/screens phone calls from customers and community officials and schedules appointment as appropriate.
MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Two years performing secretarial or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.
1.One year work experience as administrative support for managerial level staff handling confidential documents and/or reports.
2.One year or more experience in maintaining records and implementing office procedures.
3.One year or more experience in working with officials, the public, community agencies.
4.One year or more experience in providing administrative support for multi-disciplinary team members.
5.One year work experience in utilizing Microsoft office programs.
SPECIAL REQUIREMENTS
Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
