Main Purpose of Job

The position provides administrative support and office management support for the Regional Manager of the Office of Child Care and her/his subordinates as well as supporting the day care community in the Harford and Cecil County areas. Duties require a thorough knowledge of regulations, procedures, and policies, use of considerable tact, discretion, independent judgment, accuracy and decision making.

POSITION DUTIES

  • Process child care applications to include CBC's and release utilizing CCAT's, CIS, and CHESSIE applications in order to maintain accurate caseload information by following office procedures.
  • Process all incoming and outgoing mail, CJIS emails, and faxes in order to ensure timely transmittal of information by following the office standard procedures
  • Makes/takes appropriate referrals and messages of incoming calls and walk-ins to facilitate prompt and professional communications by following office procedures and business protocol.
  • Maintains and process closed files for retention and disposal in order to ensure ease of retrieval and accurate disposition of closed files by following OCC retention schedule and office procedures established by the Regional Manager.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

SELECTIVE QUALIFICATIONS

1 year experience with Microsoft Office Suite (Word, Excel, PowerPoint, Access) {if you are not using the substitution}

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
