Introduction

The Department of Labor, Licensing and Regulation is accepting applications from qualified candidates for an Office Secretary III position within Correctional Education.  The resulting eligible list will be used to fill this position or function only.  Persons interested in future positions will need to reapply. This position is to support the Correctional Education program in a correctional institution

Main Purpose of Job

The position provides administrative secretarial support for the teachers and principals for the educational education program inside a correctional facility.

POSITION DUTIES

- Utilizes appropriate technology and software to ensure efficient office operations.

- Provide accurate and timely information in response to inquiries from headquarters, colleges, state agencies and other departments within the institution.

- Monitor work activity to ensure that the office runs efficiently and deadlines are met.

- Receives telephone calls and visitors and arranges for appointments and interviews

- Maintains important and confidential records, schedules, expense accounts and office supplies.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

- Preferred candidate must be willing to work in a Correctional Facility.

- Six months experience working with data bases.

- Six months experience preparing spreadsheets in Microsoft excel.

- Six months experience preparing word documents in Microsoft word

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (DLLR/DUI) to determine whether any monies are owed to DLLR/DUI as a result of an unemployment insurance overpayment and/or fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment. All candidates are also subject to a background check and finger printing by DPSCS.

Units will select those candidates most closely demonstrating the qualifications for interview.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
