Main Purpose of Job

This position will provide secretarial and administrative support to an Adult, Child, and Family Services Division Program Manager. This position provides customer service to both internal and external customers that meets or exceeds the standards set forth by the Department.

POSITION DUTIES

Job duties include, but are not limited to phone and in person communication with community partners and external customers; handles internal and external correspondence; updates and maintains databases; maintains billing systems; maintains schedules on the fleet calendar and provides general administrative support.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet the selective qualification(s) to be considered. Include clear and specific information on your application regarding your qualifications.

One year of experience handling confidential documentation and answering inquires from internal and external community partners.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.

The ideal candidate will possess:

1. One year of experience using Microsoft Office Suite - Word, Excel, etc., to produce correspondence and spreadsheets.

2. One year of experience maintaining data and billing invoices.

3. One year of experience in fleet management, e.g. scheduling, tracking, etc. of agency vehicles.

4. Possession of an associate's degree.

5. One year of State experience.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

For education obtained outside the U.S., a copy of the equivalent American education as determined by a foreign credential evaluation service must be provided prior to hire.
