Main Purpose of Job
Provide Administrative support to the Chief of the Longer Term Supports and Services Division and staff in the Division. Periodic support of senior staff in the department may be required.
Supports and assists with the logistical and materials planning and implementation of meetings, conferences, conference calls, and training sessions that involve from 10 to 150 people.
The position will be responsible for the requisition of materials per State small procurement and purchasing rules; Will liaise with the Fiscal Division, Division staff, and vendors to process necessary paperwork. Support major Department of Aging projects; support operations and conduct tasks related to the input and maintenance of information in the MAP website resource directory; use spreadsheets, and other software systems to enter and/or update data.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Three years performing secretarial or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Strong preference will be given to applicants that possess the following: Include clear and specific information on your application regarding the qualification(s)
Experience supporting multiple officials, administrators, or an Executive office with the coordination of work efforts such as special projects, webinars, teleconferences, and committee meetings.
Experience preparing and maintaining statistical reports using Microsoft Excel and/or Access; or similar software.
Experience proof reading and drafting correspondence for accuracy and grammar.
Two years of experience working with procurement, purchasing, expense reports or tracking invoices.
SPECIAL REQUIREMENTS
Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
