Main Purpose of Job
POSITION DUTIES
Receives and reviews closed records and ODO materials.
Assigns case files; interfiles incoming mail and other confidential procedures; retrieves case records; responds to telephone inquires.
Performs Quality Assurance of records and materials to ensure accurately filed; prepares accession sheets for the Archives and The Records Management Center.
Reviews records for misfiles and interfiles case records that have been misfiled.
Prepares ODO materials for destruction in compliance with the Department of General Services record detention and disposal schedule.
Packs and label boxes for the Records Management Center.
Assists and trains new staff on procedures to access and compare information from all systems needed to develop automated accession sheets and records request.
Obtains required information in reference to customers from other agencies systems to determine eligibility; and performs other related duties as assigned.
MINIMUM QUALIFICATIONS

Education: Completion of the eighth grade.
Experience: One year experience performing clerical duties in an office environment.
Notes:
1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.
2. Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.
3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.
4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.
The ideal candidate will possess the following:
1. One year of experience performing records processing, filing and retention duties.
2. One year of experience using Microsoft Office Suite (Word, Excel, and PowerPoint for example), Google Suite (Google Sheets, Google Docs, Gmail, Google Calendar, and Google Voice).
3. Requires ability to lift 50 lbs or more (heavy boxes and files), reach, bend and kneel.
4. One year of experience in customer services.

For education obtained outside the U.S., a copy of the equivalent American education as determined by a foreign credential evaluation service is required prior to hire.
