Main Purpose of Job

The main purpose of this position is to process incoming and outgoing mail, ensuring prompt and efficient delivery and collection of mail via the established procedures. This position will also accurately and efficiently prepare documents for scanning into the agencies electronic imaging system within 24 hours of receipt.

POSITION DUTIES

Receive, sort, open, date/time stamp all incoming mail according to established procedures. Record certified and express mail/packages. 

Process all outgoing mail using the appropriate equipment and according to established procedures.

Provide inner-office courier service to all departments within the agency

Maintain and keep records for all  postage equipment. Ensure available postage on postage meters.  

Review, prepare and batch claim related documents received in paper form for scanning, in compliance with established procedures.

Prepare incomplete or inaccurate documents for return to sender.

Answer inquiries from co-workers or the public regarding incoming or outgoing mail. Sign manifests, secure deliveries and packages for pick-up by Supply Room personnel or mail recipient

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience performing clerical duties.

Notes:

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

 2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

 3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the requires experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

LIMITATIONS ON SELECTION

Selected candidate must be an employee of the Workers' Compensation Commission.
