Main Purpose of Job

The main purpose of the Office Services Clerk Lead is to assist in the administrative routine work of a Family Investment Center. Reviews and compiles payroll and attendance for all employees to submit to payroll. Handle routine correspondence and contact with units that deal with supplies, forms, equipment, and repairs.

POSITION DUTIES

Retrieves attendance reports daily and notifies supervisors of lateness and absenteeism.

Maintains copies of all leave slips.

Opens and distribute correspondence (US Mail, inter-agency mail) to appropriate staff.  

Building facilitator maintaining contact with the landlord and the BCDSS Building Administrator to assure health and safety compliance.

Orders supplies and forms monthly and distribute supplies upon delivery. Control and distribute key cards used to enter the building. Maintain controls for PEP compliance.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years of experience performing clerical duties.

Notes

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

 2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

 3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualifications. Include clear and specific information on your application regarding these qualifications.

The ideal candidate will possess the following:

1. One year of experience handling confidential reports and documents.

2. One year of experience handling inquires from internal and external customers.

3. One year of experience maintaining documents using word, excel, or Google docs/sheets.

4. One year of experience providing bilingual Spanish services to customers.

5. One year of experience in a Human Services Organization.
