Main Purpose of Job

The main purpose of this position is to provide, review, coordinate, and manage administrative and secretarial support services for the WCHD Environmental Health Program. Primary duties are to manage secretarial and administrative functions that may require word processing, database, spreadsheet or desk top publishing computer software applications in order to prepare reports, charts, graphs, letters, receipts, or other documents. This position may enter, update, verify and retrieve data using computer database or spreadsheet software applications as required. This position may greet the public, direct them to the appropriate person within our office, retrieve telephone calls and relay messages for the entire office as needed.  This position will supervise secretarial staff.

MINIMUM QUALIFICATIONS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience:  Four years of experience performing clerical duties.

Notes: 1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

3.Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The preferred applicant should have the following:

  • experience organizing and managing multiple projects
  • experience leading/supervising staff in a fast-paced governmental setting
  • knowledge of the principles and practices of good office management
  • skill utilizing a variety of software packages
  • skill in organizing and completing multiple tasks with close attention to detail
  • ability to independently respond to telephone and in-person inquiries regarding routine information
  • ability to exercise good judgment, courtesy and tact in receiving callers, in giving and obtaining information, and in making proper disposition of problems
  • ability to establish and maintain effective working relationships
