Main Purpose of Job

This position serves as an Administrative Assistant to the Assistant Director for Local General Administration (LGA), with primary responsibility for preparing correspondence, reports, memoranda, and assisting the Procurement, Finance, and at times, Human Resource units with  administrative duties. This position also serves as the training coordinator and fingerprint coordinator for the entire DSS; as a back-up for the mail room and front desk duties; and as an important piece of the separation of duties continuum for LGA operations.

POSITION DUTIES

1. Provides clerical support for the LGA Assistant Director by preparing all correspondence, assisting in the creation of reports (or being solely responsible for the creation of reports), filing reports timely with various entities, and serving as a point of contact for LGA. Maintains all files for the LGA AD. Serves as the training coordinator for the LDSS. Takes minutes for LGA meetings, and occasionally, for other units.

2. Creates, tracks, and files all Minority Business Enterprise (MBE) reporting for procurement (Procurement), and responsible for maintaining vehicle reservations for agency fleet (Fleet Management). Manages the LGA credit card, to including tracking, signing out to workers, and reconciliation of statements; assists Fiscal with detail entry (Procurement and Finance).

3. Responsible for all MVA tracking and logging of employee driving record information (Fleet Management and HR). Initiates and maintains all fingerprinting for agency employees and Project Home foster parents (HR and Child Welfare).

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.

The ideal candidate will possess the following:

1.  One year of experience working in Maryland State Government, in any of the following areas: Human Resources, Procurement, Finance, or Fleet Management.

2.  One year of experience working in Microsoft Excel, specifically relating to creating formulas, reconciling financial data, and/or utilizing Excel for data reporting functions.

3.  One year of experience working in FMIS, ADPICS, or AFS.

LIMITATIONS ON SELECTION

Limited to candidates willing to accept employment in Salisbury, MD.  Salisbury is located on the Eastern Shore of Maryland, approximately 2.5 hours east of Washington, DC; 2.5 hours southeast of Baltimore, MD; and 3 hours south of Philadelphia, PA.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
