Introduction

This is a twelve month position in the Principal’s office of the Columbia Campus of the Maryland School for the Deaf.

Main Purpose of Job

This position performs a variety of complex secretarial, clerical, and office management duties for the Principal's office.

POSITION DUTIES

The Administrative Aide maintains front desk coverage, manages entry to the building for all visitors, issue I.D. badges and ensures visitors are escorted to their destination.

The Administrative Aide is responsible to prepare and send admissions and enrollment packets for potential students, prepare and send annual student registration packets, collect and process all pertinent data and related forms, prepare and distribute student rosters, maintain and update student consent forms and act as the Database Manager for the student information system.

The incumbent will maintain the teacher and teacher aide substitute list and coordinate substitute coverage for all departments on a daily basis. Process and maintain logs for Interpreter, field trip, merchandise, dietary ,and pool requests.

Prepare and distribute weekly staff newsletter, process all campus mail, and maintain funds in the postage machine.

The Admin Aide will also assist with duties that relate to student transportation, campus tours, and meeting coordination for Board of Trustees meetings.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Proficient in or able to carry a conversation in American Sign Language.

Candidates should be able to use a video phone.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
