Main Purpose of Job

This position functions as a Management Associate for the Department of Human Services (DHS), Social Services Administration (SSA) for the Deputy Executive Director of Programs and Outcomes Improvement's Deputy. The incumbent in this position provides administrative support to areas related to the daily operations of SSA's programs, procedures and policies. This position requires working knowledge of child and adult welfare terminology, use of considerable tact, discretion, independent judgment and decision making. 

POSITION DUTIES

Maintains and coordinates meeting and conference schedule; schedules meetings/appointments with internal and external customers, and provides all parties with pertinent information agenda and materials as required for that meeting; ensures that meeting information including talking points are provided; arranges for additional staff with expertise on the topic to attend the meeting; takes meeting notes, types minutes, tracks expense accounts, and maintains supplies; maintains important confidential records pertaining to adult and child welfare issues; maintains a daily log and filing system of all incoming controls and assignments from DHS Secretary and SSA Executive Office; assigns and ensures that staff meets the required completion deadlines; reviews assignments for proper formatting and accuracy; composes, prepares, reviews and proofreads correspondences, forms, charts, reports, budget estimate sheets and other written documents; verifies, enters, updates and retrieves essential data from databases and spread sheets to use for meetings and conferences; designs reports using Microsoft Word, Excel, and PowerPoint; composes approval letters and forms for travel approvals with supporting documents and performs other related duties as assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.


SELECTIVE QUALIFICATIONS

Applicants must meet the selective qualification(s) to be considered. Include clear and specific information on your application regarding your qualifications.

One year of the required minimum qualification experience must have been in providing secretarial support to officials, administrators or an executive office of a Human Service Program.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.

One year of experience with Financial Management Information System and Advanced Purchase Inventory Control System.

Strong customer service, written and oral communication skills.

Ability to prioritize and multi-task effectively.

Flexibility in a busy environment.

Demonstrated skills in effective time management, priority setting and problem-solving.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
