Main Purpose of Job

To act as an administrative assistant to the Director of Legislative Affairs of the Maryland Military Department. The position requires an administrative specialist who can exercise sound judgment, work independently, and a multi-tasker with exemplary attention to detail. Minimal supervision is required.

POSITION DUTIES

Provides direct support to the Director.

Manages elected official inquiry program.

Logs items, determines distribution to appropriate staff, compose responses.

Provides back up phone support in the absence of the Adjutant General's Executive Associate.

Composes  letters, invitations, and memos as directed by the Director and/or Adjutant General.

Maintains calendar for the Director.

Establishes and maintains a workable filing system and resource file, so that information can be retrieved quickly.

Manages office supplies.

Compiles essential legislation, AG opinions and amendments along with relative research.

Maintains up to date contact lists of federal, state and local elected officials as well as retired General Officers.

Manages responses and attendance for VIP's for special events.

Provides support during the planning and execution of the Gubernatorial Inauguration.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

- One year of experience handling confidential correspondences, reports, etc. for an executive level staff in an office setting.

- One year of experience organizing standard operating procedures (SOP).

- Proficiency in with Microsoft Office Suite and Google Suite software.

- One of experience providing customer service to internal and external customers.

- One year of experience drafting professional correspondence and forwarding via mail merge.

- One of experience scheduling via electronic (Google preferably) calendar.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
