Main Purpose of Job

This position (Mailroom Manager) performs a variety of tasks related to the Central Repository mailroom operations. Provides direct supervisory oversight for the mailroom activities including the sorting and delivery of incoming mail, the preparation and sending of outgoing mail, monitors inventory, checks and reorders items, receives items and allocates to the unit (s) manages financial transactions relating to mail services, engages in correspondence with departments and vendors on discrepancies and reconciles with appropriate entities, work directly with the US Postal Service, operate mail sorter machine and postage metering equipment. This position has a wide range of customer service and administrative duties.

POSITION DUTIES

Manage and coordinate the activities of  the mailroom supervisor and front line staff responsible for ensuring the accurate, complete and timely processing of all components of the mailroom workflow. Performs in a timely manner all required Personnel matters (PEP (Performance Evaluation Program), Timesheet FMLA (Family Medical Leave Act), Counseling & Disciplinary actions, participate in hiring process, etc.)

Monitor workflow process to meet Managing For Results statistical measurements associated with various related database systems (Mailroom Transaction Controller, CJIS, Repository Accounting, Network Live-scan , Electronic Card Converter, Remedy, Metering Equipment, Expungement Tracking System, etc.)

Prepare timely report (s) daily, weekly and/or monthly: error reporting (internal & external findings), system downtime, statistical information, records accurate detailed information and research mail service problems/issues

Serve as liaison CJIS-CR: Communication/Leadership/Teambuilding  Responsible for communicating with Information Technology Team, Finance Dept., External Customers, Service Vendors, Colleagues to report or discuss system related issues prohibiting the accurate, complete and timely processing of tasks related to the Central Repository mailroom operations

MINIMUM QUALIFICATIONS

Education: Possession of a Bachelor's degree from an accredited four-year college or university.

Experience: One (I) year experience in administrative or professional work.

Notes:

1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.

2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required education and experience.

DESIRED OR PREFERRED QUALIFICATIONS

  • One year of supervisory experience in a mail room environment.
  • One year of experience in inventory management
  • One year of experience in Microsoft Office Suite Applications.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
