Introduction

Maryland 529 (MD529) is an independent State Agency that is overseen by an 11 member Board of Directors comprised of State officials and public members appointed by the Governor.  The mission of MD529 is to provide flexible and affordable plans to help Maryland families save for future college expenses and reduce dependence on student loans later.  MD529 also oversees the Maryland ABLE program which began in 2017.  MD ABLE will help individuals with disabilities save in a tax-deferred way similar to 529 college savings plans.

Main Purpose of Job

The main purpose of this position is to serve as the administrative assistant to the Executive Director of Maryland 529.  This position is responsible for acting as an intermediary for the Executive Director through frequent contact with state officials, legislators, and directors of Maryland 529; receiving phone calls coordinating to inquiries, complaints, requests and both controlled and general correspondence; maintaining the Executive Director's calendar by coordinating appointments, interviews, and travel arrangements.  This position also serves as the office manager for the agency.  This is a Special Appointment position which serves at the pleasure of the Executive Director. 

POSITION DUTIES

Provide administrative support to the Executive Director.

Provides support to the Maryland 529 Board and Maryland 529 Board Committees, including the scheduling of meetings, preparation of meeting minutes and distribution of reports and meeting materials.

Maintains accurate Board files, including paper and electronic media.

Developing and implementing the agency's records retention policy.

Prepare reports as needed for the Maryland 529 Board, including organizational and work flow charts.

Provide support in resolving account holder matters that are referred to the Executive Director by the Governor's Office, General Assembly, U.S. Congress, and /or Board members.

Provide support to the Public Relations and Marketing Manager as needed, including to the agency's mailing of the Annual Report to the MD Assembly.

Coordinate travel logistics including airfare, hotel reservations and registration for conferences and events. 

Coordinates and executes the record retention process for the agency. Coordinate all personnel Interview process for the agency.

Maintain office supplies inventory; placing orders with the procurement officer.

MINIMUM QUALIFICATIONS

Education: Possession of an Associate's degree from an accredited college or university.

Experience: Three years' experience in administrative or professional work.

Notes:

1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.

2. Candidate may substitute U.S. Armed Forces military service experience involving staff work that included the regular and complex interpretation of administrative decisions and policies; for the transmittal to other members of the staff with the authority of the Commanding Officer.
