Main Purpose of Job

This position is responsible for, in collaboration with the Administrator of Parole and Probation training unit of the Police and Correctional Training Commissions, the planning, organizing, managing and implementing of assigned programmatic and/or administrative projects. This position also has responsibilities for assistance in the Units procurement activities, budget compliance. and certification process by insuring all notice of personnel action forms are processed in an accurate and timely manner. The administrative aide must be customer service oriented, with the ability to translate problems, reports and data.

POSITION DUTIES

  • Assist the Parole and Probation Training Administrator in the planning, organizing, and implementing of assigned programmatic and/or administrative projects.
  • Provide Administrative and Clerical support to the Parole and Probation training unit.
  • Assist in the identification and establishment of policies and procedures for the training programs within this positions purview.  Examples are record keeping and tracking of training hours for the division employees.
  • Establish and provide direct oversight of a monitoring system for tracking of training records, unit expenditures, and procurement activities.
  • Provide direct oversight, tracking of DPSCS Notice of Personnel action forms for the Division of Parole and Probation.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

SELECTIVE QUALIFICATIONS

Applicants must meet this selective qualification to be considered. Applicants must be detailed in describing the nature of their training/instructional work experience.

  • Experience working with or for a public safety agency and/or Experience working in a training environment
  • Experience using MS Word, Excel, Powerpoint, and Database Entry 

DESIRED OR PREFERRED QUALIFICATIONS

  • Experience using a scanner, managing electronic records and information transfer between various databases.
  • Knowledge of policy and procedure development.  
  • Experience writing objectives or test questions.

SPECIAL REQUIREMENTS

Selected applicants MUST successfully complete a background investigation.
