Main Purpose of Job

This position (Mailroom Supervisor) performs a variety of tasks related to the Central Repository mailroom operations applicable to processing criminal history record background checks. Provides assistance to the Mailroom Manager, including the sorting and delivery of incoming mail, the preparation and sending of outgoing mail, engages in correspondence with departments and vendors on discrepancies and reconciles with appropriate entities, work directly with the US Postal Service, operate folding machine and postage metering equipment. This position provides assistance for a wide range of customer service and administration duties.

POSITION DUTIES

In the absence of the Manager coordinate the activities for the mailroom front line staff responsible for ensuring the accurate, complete and timely processing of all components of the mailroom workflow.

Monitor workflow process to meet Managing For Results performances associated with various related database systems (Mailroom Transaction Controller, CJIS, Repository Accounting, Network Live-scan Applicant Reject, Electronic Card Converter, Remedy, Metering Equipment, etc.)  

Prepare timely report (s) daily, weekly and/or monthly: error reporting (internal & external findings), system downtime, statistical information, records accurate detailed information and research mail service problems/issues.  

Serve as CJIS-CR customer service liaison: Communication/Leadership/Teambuilding responsible for communicating with Information Technology Team, Finance Dept., External Customers, Service Vendors, Colleagues to report or discuss system related issues prohibiting the accurate, complete and timely processing of tasks related to the Central Repository mailroom operations.             

Performs other duties in accordance with COMAR & Departmental policies/procedures to ensure the accurate, complete, timely delivery CHRI/CJI (State & Federal levels)

MINIMUM QUALIFICATIONS

Education:   Completion of the eighth grade.

Experience: Three years of experience typing correspondence reports, charts or other documents from rough draft, corrected copy or oral instruction on a typewriter or on a keyboard of personal computer, computer terminal or word processor.

Notes:

1. Candidates may substitute additional experience typing or performing other clerical duties on a year-for-year basis for the required education.

2. Candidates may substitute graduation from an accredited high school or possession of a high school equivalency certificate for six months of the required experience.

3. Candidates may substitute five courses or six months of clerical training in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

1 year of experience working in a mailroom

1 year of customer service experience

1 year of Supervisor or Lead Worker experience

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
