Introduction

The Department of Labor, Licensing and Regulation (DLLR) is accepting applications from all qualified applicants for the position of Office Services Clerk. This position is to process license applications for the issuance of the licenses for 25 regulatory Boards and Commissions within the division of the Occupational and Professional Licensing. This positon is limited to current Department of Labor, Licensing and Regulation employees only.

Main Purpose of Job

The main purpose of this position is to process license applications for the issuance of the licenses for 25 regulatory Boards and Commissions within the division of the Occupational and Professional licensing. The position is also responsible for answering consumer inquiries through the Consumer Service Center by providing accurate information regarding the Board and Commissions, application and complaint status, and related information in a professional, courteous, and timely manner.

POSITION DUTIES

Duties of this positon include, but are not limited to:

  • Process review and running edits for original licensing applications, for manual deposit by verifying applications are complete and correct; conduct computer research for trade name validation and proper registration with SDAT, verify compliance with insurance and other licensing requirements, and verify that the correct fees are applied to each application.
  • Verify and audit all application and miscellaneous fees submitted by Boards and Commissions and the Financial Regulations Division in order to ensure that the auditing requirements of the legislative auditors are met.
  • Contact applicants by telephone in order to assist them with incomplete, inaccurate or incorrect license applications; respond to inquiries from applicants about the status of their licensing application.
  • Process applicant's refund request.
  • Process applicant's refund request weekly.
  • Track the active renewal listing monthly to ensure the money in the system is cleared out every 90 days.
  • Maintain the tracking of all manual deposits sent to Citi Bank Lockbox
  • Assist and provide accurate and correct information to consumers about each agency within the Division by telephone and by mail in a timely and professional manner.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience performing clerical duties.

Notes:

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

 2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

 3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the requires experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Customer Service Skills

Experience in reviewing reports and other documents for compliance

Oral and telephone communication skills

Experience processing or reviewing financial transactions (i.e. manual deposits and internet transactions)

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (DLLR/DUI) to determine whether any monies are owed to DLLR/DUI as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
