Main Purpose of Job

This position acts as an administrative assistant to the Director of Legislative Affairs of the Maryland Military Department. The Management Associate manages the elected official inquiry program. At the direction of the Director and or Adjutant General's Office, this position will compose letters, invitations and memos. The Management Associate is also responsible for maintaining the Director's calendar and establishing and maintaining a filing system and resource file to ensure that information can be retrieved quickly.

POSITION DUTIES

  • Logs items, distributes to the appropriate staff

  • Provides back up phone support in the absence of the Adjutant General's Executive Associate.

  • Maintains calendar for the Director.

  • Manages office supplies.

  • Compiles essential legislation, AG opinions and amendments along with relative research.

  • Maintains up to date contact lists of federal, state and local elected officials as well as retired General Officers.

  • Manages responses and attendance for VIP's for special events.

  • Provides support during the planning and execution of the Gubernatorial Inauguration.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

One year of experience providing direct support to an Administrator or Director to include taking meeting minutes and utilizing Microsoft Office Suite.

DESIRED OR PREFERRED QUALIFICATIONS

One year of customer service experience.

One year of experience drafting professional correspondences and forwarding via mail merge.

One year of experience scheduling via electronic calendar.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
