Main Purpose of Job

The Management Associate provides secretarial/administrative support to the DPP Deputy Director of Administration.

POSITION DUTIES

Provides information regarding community supervision operations and administrative issues; routes calls as necessary to the Director’s Office team or to appropriate parties within DPP and the Department (DPSCS).

Summarizes citizen complaints received via telephone to the appropriate DPP executive and management teams. Requests written confirmation as appropriate for complaints and retains a file copy.

Drafts, types and proofreads correspondence; develops charts/spreadsheets and other illustrative documents for the Director, and Deputy Director.

Schedules meetings and maintains the calendar of the Deputy Director.

Communicates with a host of governmental and private sector executives, managers and officials to coordinate the scheduling of meetings, interviews, etc.

Sets up filing systems, maintains/purges files and records. Securely maintains confidential employee and administrative records.        

Receives and completes assignments in the areas of: procurement, human resources and fiscal services.

Quarterly updates various directories used by the agency and in the Director’s Office.

Interprets DPP policy and procedures and responds to staff questions or refers staff to Deputy Director.  

Independently resolves certain administrative issues and concerns that are referred to the Deputy Director’s Office.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.


Experience handling and drafting confidential correspondence for executive management


Customer service experience in responding to information requests from the public either verbally, or in writing 


Experience in preparing spreadsheets, charts, or PowerPoint presentations for meetings


Experience maintaining a calendar, and scheduling resources for meetings

LIMITATIONS ON SELECTION

This position is limited to permanent and contractual Department of Public Safety and Correctional Services employees who work within the Division of Parole and Probation.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
