Introduction

The Maryland Department of Human Services (DHS) is the state’s primary social service provider, serving over one million people annually.  The Department, through its 24 local departments of social services, aggressively pursues opportunities to assist people in economic need, provide preventive services, and protect vulnerable children and adults in each of Maryland’s 23 counties and Baltimore City.

DHS is currently recruiting for two Executive Associate II positions for the following:

Office of the Deputy Secretary for Operations 

Office of Deputy Secretary for Programs

These positions are Special Appointment and serve at the pleasure of the Appointing Authority.

Main Purpose of Job

These positions are responsible for providing administrative support to the Deputy Secretary for Operations or the Deputy Secretary for Programs for the Department of Human Services.

POSITION DUTIES

Responsibilities include supporting the Office of the Secretary, identifying and assigning issues to appropriate administrations within DHS to handle on behalf of the Deputy Secretaries; acting as intermediary for the Deputy Secretaries with Executive Staff, general public, private sector, and public officials in the exchange of Departmental information; drafting, preparing, reviewing, and editing for accuracy and appropriateness all correspondence for the signature of the Deputy Secretaries; tracking all incoming and outgoing assignments in the Office of the Deputy Secretaries; planning, coordinating and scheduling all meetings and alerting the Deputy Secretaries of priorities and issues that need immediate attention.

MINIMUM QUALIFICATIONS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years of experience performing administrative or secretarial duties. Two years of the required experience must have been in supporting an executive or senior management.  

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.

1. An associate's or bachelor's degree from an accredited university and/or some college experience is preferred.

2. Experience using Microsoft Outlook or Google Calendar.

3. Experience in organizing projects.

4. Strong customer service, written and oral communication skills. 

5. Ability to multi-task effectively and prioritize in a fast environment and meet deadlines.

6. Proficient with Microsoft Office Suite, PowerPoint, Excel and Word.
