Introduction

Maryland Public Television, which is commonly known by its familiar name "MPT", is a public television network that comprises six television stations that broadcast throughout the entire state of Maryland as well as into the District of Columbia and parts of Delaware, Pennsylvania, Virginia, and West Virginia. MPT is the only statewide broadcaster in Maryland. MPT is a member of the Public Broadcasting Service.

Main Purpose of Job

The main purpose of the position is to manage and support all functions related to the COO, the office's direct reports and their staff needs. Support COO's schedule, travel and expenses. Handle all administrative duties under COO's supervision. Help write and create management presentations.

This is a Special Appointment position, and serves at the pleasure of the Appointing Authority.

POSITION DUTIES

  • Prioritizes incoming communications for the Executive Vice President/COO; responds to inquiries on behalf of the Executive VP/COO, recognizing that he is a member of MPT's Senior Management and will be dealing with the highest levels of the organization; maintain daily calendar; prepare and arrange travel and follow-up reports including expense reports for the Executive Vice President/COO and department progress reports.
  • Draft, edit and proof documents, including correspondence, contracts, licensing deals, descriptions and other documents as assigned. 
  • Coordinate and facilitate divisional activity, including communication of routine information to internal and external collaborators; securing needed supplies; oversee efficient operation of division equipment, such as fax machines, photocopiers and arrange for meeting spaces and on-screen presentations.
  • Provide administrative assistance to the Executive Vice President/COO as well as occasionally to members of the Senior Management team.  Duties include, but are not limited to:  opening and routing of mail; screening and routing of phone calls; formatting and mailing correspondence, reports and proposals. Covering of front office phones on rotating basis.
  • Maintain existing systems (and develop new systems) for e-filing of division records, correspondence, organizational files, show files, legal files, etc., both past and present.
  • Collecting and creating visuals for five department key performance indicators
  • Managing legal files for deals and relationships generated by front office.
  • Maintains awards data including nominees and winners from year to year.  Helping coordinate attendance at regional Emmy awards including tables and tickets, etc.
  • Perform other administrative duties as assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: A minimum five (5) years of experience in an administrative or secretarial support capacity with at least two (2) years reporting to an executive and/or senior management of an organization.  

For education obtained outside the U.S., a copy of the equivalent American education as determined by a foreign credential evaluation service must be provided prior to hire.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.    

  • Some college experience preferred
  • Proficient in Word, Excel, and PowerPoint computer programs
  • Strong verbal and written communication skills
  • Must exercise sound judgement, tact, and discretion and work without direct daily supervision to meet demands and deadlines
  • Must be experienced in juggling multiple simultaneous activities and be available for occasional (non-cash-compensated) overtime

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
