MDH Springfield Hospital Center, Sykesville MD

POSITION DUTIES

The main purpose of this position is to carry out responsibilities in the following functional areas: customer service, records management, filing, using a multi line phone system, answering basic human resources inquiries such as FMLA, benefits and compensation, OSHA Compliance/Workers Compensation coordination, license and competency tracking, as well as providing a variety of other secretarial duties as assigned.

Some job responsibilities may include, but are not limited to;
  • Prepares, processes, and audits all personnel and ADA files to include but not limited to: organizing new hire packets, obtaining CJIS results (enter into Workday), ensure all documentation is in file ad accurate, update all databases, and complete personnel action forms for all merit and contractual employees.
  • Advise new employees concerning benefit options, cost and eligibility requirements. Keep abreast of current rules and regulations governing the State of Maryland Employee Benefits Program. 
  • Maintain staff development database and the hospital's clinical competency database to ensure that staff have current professional certifications, licenses, etc. and all clinical staff have current clinical competency reports on file in accordance with Hospital policy and Joint Commission standards. 
  • Maintain electronic records in Workday as well as the HR Monthly tracker. Maintain a log on all probations within the facility. 
  • Answer phones, assist walk-in employees with questions or concerns.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience performing clerical duties.

Notes: 1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

 2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

 3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the requires experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

1. Proficiency in computer applications to include Microsoft Office Suite and Google Suites.
2. Experience with filing.
