Main Purpose of Job

This position is the direct assistant to the OSH Compliance Officer Supervisor providing administrative support in the MOSH Region VI Office for the staff of OSH Compliance Officers by overseeing the day-to-day comprehensive administrative support and daily regional operations.

POSITION DUTIES

Oversee day-to-day administrative management of regional office by organizing office operations and procedures, controlling correspondence, organizing, and scheduling informal conferences, regional staff meetings, maintaining employee work and inspection schedules, and records management.

Responsible for researching and compiling data for the timely processing and dissemination of statistical regional reports, operational regional reports, tables, timelines, and work-flow charts to senior level management.

The incumbent will provide and/or oversee staff support to the regional office, to include handling walk-in and telephone interactions, maintaining electronic calendars and travel arrangements, screening, analyzing, and responding to incoming correspondence, composing correspondence to include letters, memorandums, faxes, e-mails, maintain and/or create regional databases, proofread inspection reports and other material for accuracy, process purchase requisitions, maintain regional filing system, review, audit, and approve in the absence of supervisor monthly FARS and biweekly timesheets, and expense vouchers, maintain sick leave report and recommend counseling when needed as required by departmental policy, and handle day-to-day situations as they arise. Maintain confidential information related to the Performance Planning & Evaluation Program (PEP) for the OSH Compliance Officer Supervisor used during the employee performance reviews.

Promote the execution and delivery of policies, procedures, and program practices to compliance staff; and when deemed necessary interpret and communicate work procedures and policies.

Performs other duties as assigned by management to include but not limited to:

Process Maryland Public Information Act requests.

Process citation and notification of penalty documents for approval of Assistant Commissioner and dissemination to employers.

Provide front desk coverage.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications. 

Experience using Microsoft Office Suite, including Word, Excel, and PowerPoint.

Experience providing secretarial and administrative support for a department director.

Experience providing excellent oral/written and organizational skills.

This recruitment is limited to current employees of the Maryland Department of Labor.

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the Division of

Unemployment Insurance (MDOL/DUI) to determine whether any monies are owed to MDOL/DUI as a result of unemployment insurance overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.


Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
