POSITION DUTIES
This position is responsible for processing incoming mail, picking up and distributing mail through out the agency and the processing of outgoing mail for shipment.
Retrieves, opens, date stamps, sorts and
forwards mail to various components within the agency. Operates
inserting/folding to prepare correspondence for postage. Research unidentified
mail to determine appropriate delivery location. Process incoming electronic
medical records on paper disability claims. Collects all agency outgoing mail.
Operates postage machine to ensure proper postage on each piece of mail.
Prepare mail for pickup by US Postage Service. Organize inter-office
correspondence for courier pick-up. Box paper disability claim folders and
contact shipping service to schedule pickup. Completes other duties as assigned
to include, but not limited to, the following: research unidentified mail and
forward to correct location through the search of case management software and
Social Security applications. Operate paper shredding to destroy Social
Security claim personal identifiable information. Demonstrate the ability to
access and utilize necessary automation.
MINIMUM QUALIFICATIONS
Education: Completion of the eighth grade.
Experience: One year experience performing clerical duties in an office environment.
Notes:
- Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.
- Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.
- Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.
- Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
- Experience processing, sorting, and operating a postage
machine.
- Experience receiving, tracking, and distributing supplies.
- Experience with receiving and directing a large volume of
calls in a fast-paced environment.
SPECIAL REQUIREMENTS
Individuals selected for positions with the Maryland State Department of Education's Disability Determination Service (DDS) will go through a complete Tier 2 federal background investigation. A suitability determination by the Social Security Administration is necessary to determine whether an employee can be issued credentials in order to have access to Social Security disability data, records, and systems.
