POSITION DUTIES

This position performs high-level administrative and procurement work for the Operations and Fiscal Services Division of the Maryland Department of Aging.

This position performs high-level administrative and procurement work for the Operations and Fiscal Services Division of the Maryland Department of Aging. 

Position Duties include, but are not limited, to:

IT/Telecommunications/Facilities Coordinator:

·   Coordinate IT activities with Maryland Department of Information and Technology;

·   Ensure new IT equipment is implemented into state security protocols;

·   Procure and set up new telecommunication devices;

·   Track data usage and verify telecommunication billings;

·   Coordinate use of pool resources;

·    Ensure all task orders for statewide telecommunications are in place & updated; and

·   Assist staff with issues related to IT or telecommunications equipment.

Procurement:

·    Review purchase requisitions and advise staff on appropriate procurement method;

·    Purchase goods and services with credit card and purchase orders;

·   Post solicitations on Maryland’s procurement site and coordinate review of bids;

·   Create blanket purchase orders, direct purchase orders, change orders, and task orders in state system;

·    Track contract expenditures and deadlines; and

·    Prepare required state reports.

Other Duties:

 ·   Fleet management;

 ·   Inventory and records retention coordination;

 ·   Represent the Department at relevant trainings and meetings; and

 ·   Performance of other duties as assigned by the Secretary and/or supervisor.

MINIMUM QUALIFICATIONS

Education: Possession of a Bachelor's degree from an accredited four-year college or university.

Experience: Three years experience in administrative or professional work.

Notes:

1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.

 2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included the regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required education and experience.  

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

1. Procurement experience
2. Purchase Order experience
3. Inventory experience
4. Experience using Microsoft Office Suite and Google mail
5. Strong organizational skills
6. Ability to multi-task
7. Ability to work independently.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
