Main Purpose of Job

The main purpose of the Management Associate is to provide managerial and administrative support services to the Maryland Department of Juvenile Services’ Inspector General. The Inspector General is responsible for overseeing all DJS functions, investigating allegations of criminal misconduct and administrative violations, auditing and evaluating all DJS activities and programs, and a host of other responsibilities delegated by the Department’s Secretary. This position operates directly as the personal and confidential associate to the Inspector General. The Management Associate is exposed to sensitive information with respect to administrative investigations and is required to display a high degree of judgment, discretion and confidentiality. This position will be required to travel to Headquarters in Baltimore City.

POSITION DUTIES

The Management Associate provides administrative support to the Inspector General to include maintaining an efficient and well organized electronic and paper data collection of confidential files, maintaining the Inspector General’s daily schedule, and reviewing and correcting reports/correspondence for appropriate grammar, spelling and organization.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

1. At least two years’ experience working with Microsoft Office Suite.
2. At least two years’ experience working for a senior level administrator or executive.
3. At least one two years handling confidential correspondence, reports and other material of a confidential nature in an office setting.
4. Strong written and oral communication skills. 
5. Ability to prioritize and multi-task effectively.
6. Ability to demonstrate teamwork. 
7. Flexibility in a busy environment. 
8. Strong time management, priority setting and problem-solving skills.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
