POSITION DUTIES

The main purpose of this position is to provide direct assistance to the Chief Executive Officer by performing and coordinating the secretarial functions of the CEO’s office. The mission of the hospital is to provide competent treatment for all its patients and to treat all staff as its most valued asset while enhancing its role as a progressive force in the mental health community and as a leader in providing outstanding and effective hospital care.

Some job responsibilities may include, but are not limited to: 
Coordinates the work flow in the Chief Executive’s Office.  Member of the discussion regarding work, work flow, and decisions for changing policy and procedures 
Facilitates ongoing executive communication between the Chief Executive Officer, Clinical Director, Chief Operating Officer, Hospital Attorneys, and Department Heads.  Manages various requests from the CEO to the above noted staff.  Relay requests, obtains pertinent data and submits this information to the CEO in a timely manner 
Facilitates ongoing communication between CEO and outside agencies, e.g., Carroll County Government (Commissioners, Delegates), Department of Corrections, CORE Service Agencies in order to better serve our clients 
Manages special projects and develops time frames, as needed, to provide timely progress updates to CEO 
Organizes daily work schedule for the CEO by arranging meetings/appointments on and off grounds, handling travel arrangements, and maintain an updated calendar 
Drafts and types correspondence (memorandums, letters, statistical reports) for the CEO.  Maintains an up-to-date filing system for incoming and outgoing correspondence

MINIMUM QUALIFICATIONS

Education: Possession of a Bachelor's degree from an accredited four-year college or university.

Experience: One (I) year experience in administrative or professional work.

Notes:

1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.

2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required education and experience.

DESIRED OR PREFERRED QUALIFICATIONS

The desired candidate should possess:
  • Experience utilizing Microsoft Office Suite to create correspondence, memorandums, reports, etc. 
  • Experience responding to customers via telephone and in-person regarding routine information 
  • Knowledge of the principles and practices of good office management 
  • Mathematical and organizational skills 
  • Ability to independently complete multiple tasks with close attention to detail 
  • Ability to exercise good judgment, be courteous, and tactful with incoming call 
  • Ability to provide and obtain information, and make proper disposition of problems 
  • Ability to establish and maintain effective working relationships

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
