Main Purpose of Job

The primary purpose of this position is to perform administrative and secretarial duties in an accurate and expeditious manner for the Bureau Chief and command staff of the Criminal Investigation Bureau (CIB). The duties listed are specialized and require a working knowledge of Department and Bureau policy in order to complete tasks in an efficient manner.

POSITION DUTIES

Maintain the Bureau Chief's calendar of events and schedule all necessary meetings, appointments and conference calls; and create folders that provide pertinent information needed for the meeting/event. Process confidential information on behalf of the Bureau Chief.

Answer incoming telephone calls for Bureau staff and take appropriate messages and actions for the Bureau Chief and Bureau staff.

Make appropriate copies and distribute all Bureau correspondence to proper divisions/units/sections. Maintain all active files and CIB files.

Compose and type correspondence dealing with administrative matters for the Bureau. This correspondence is often sensitive in nature and must be handled with complete confidentiality.

Perform other job related duties as requested.

MINIMUM QUALIFICATIONS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.

 Experience:  Six years performing secretarial or clerical work involving typing duties.

 Note:

1.     Thirty credit hours from an accredited college or university may be substituted at the rate of thirty credits for one year of experience for up to four years of the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preferred Qualifications

1.     Experience utilizing programs such as Word, Excel and Power Point

2.     Experience providing administrative support to different level executive positions

3.     Experience drafting and typing correspondence, endorsements, reports and letters

SPECIAL REQUIREMENTS

In accordance with Section 2-204(b)(6) of the Public Safety Article, Candidates for position in this classification will be subject to an initial drug screening and a complete criminal background investigation to include a polygraph examination before permanent appointment can be made. A criminal conviction may be grounds for rejection of the candidate.

SELECTION PROCESS

Only candidates who meet the minimum qualifications will be considered for this classification. Therefore, it is essential that you provide complete and accurate information on your application. Successful candidates will be placed on the Eligible List categorized as BEST QUALIFIED, BETTER QUALIFIED or QUALIFIED and remain eligible for consideration for at least one year from the date of examination. The list will be used by the hiring manager to select employees.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training and experience related to the requirements of the position. You may be required to complete a qualifications supplement, or the rating may be based on your application. Report all experience and education that is related to this position. Applicants may be given a physical examination and will be subject to an interview, background investigation, polygraph examination and substance abuse testing.
