POSITION DUTIES

To provide secretarial and administrative support to one or more administrative officials, department heads, and staff, including routine and specialized, complex secretarial services.

Provides secretarial support to the administrators and department managers at the Maryland Correctional Institutions, in a potentially volatile environment. Ancillary support is provided for other administrative secretaries during absences.

Responsible for scheduling policy reviews and editing of internal policies and forms for required annual review in accordance with the State of Maryland Policy guidelines and maintained electronically on a personal computer and in manuals. This position assists the audit coordinator and audit staff with institutional policy compliance with audit standards. Policies are edited for grammar, punctuation, spelling, and recommended revisions are made to reflect current procedures at the facility. New forms to be used by staff are developed, added to policy, and reported to Headquarters staff as required per the Department’s Forms Policy. Disseminates approved policies to department heads and all staff. This is an essential factor in the facility’s compliance with audits.

Requests cooperation from department heads and other operational staff to relieve the supervisor of operational details by assembling, compiling, and summarizing data (annual reports, monthly program statistics, annual equipment requests, budget reports, etc.) to expedite operational procedure.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

1. Experience receiving, processing, and maintaining confidential information.
2. Experience providing customer service to the public, co-workers, and/or officials.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
